Start with roles, not people
List every role in your organisation and the training each one must hold. If two people in the same role have different requirements, something is wrong.
This becomes the yardstick everything else is measured against.
Check your coverage
For each role requirement, can you say what percentage of people currently hold it and when the earliest expiry falls? If not, your record is not yet fit for purpose.
Include everybody
Bank staff, agency workers, volunteers and long-term contractors are frequently outside the main record, and they are frequently the people an inspector asks about.
Test the evidence
Pick three people at random and produce their full training record in under five minutes. If you cannot, the gap is in your system, not your training.
Set a review rhythm
Requirements change. Put a date in the calendar to review role requirements at least annually, and after any regulatory change affecting your sector.
